The role

To provide support to the executive assistant, head of production and post production executive in all preproduction matters, and to cater for a variety of needs in a fast-paced environment.

Role Responsibilities:

  • Efficiently arrange, coordinate and manage constantly changing diary commitments of the production/development department at QSP, dealing with meeting requests / setting  up meetings, providing full secretarial and administrative support. 
  • To support the team with travel arrangements in house and  for productions in Pre-Prep.
  • To assist with crew availability checks for productions in pre production across multiple projects. 
  • To assist with raising purchase orders, dealing with  expenses, liaising with finance departments where appropriate. 
  • Assist with onboarding of new team members at Quay  Street as an ever-growing team. 
  • To ensure standard guidelines and policies issued to  productions are kept updated. 
  • To facilitate production, startup – setting up google drives and ITV email addresses, enable Albert access, creating team engine and sync on set accounts. 
  • To provide additional duties which are reasonable and appropriate to the post team.
  • Liaising with external agencies, this could involve working with casting agencies, talent agents, and other external partners.
  • Assist with script distribution, tracking revisions, and ensuring everyone has the most up-to-date version.
  • Manage and update databases related to crew, vendors, locations, or other relevant information.
  • Assist with ensuring productions adhere to health and safety regulations.
  • Help coordinate training sessions for team members on new software, equipment, or procedures.
  • Responsible for managing the schedules and communications of CD and the Quay Street team
  • Conduct research on various topics relevant to productions.

Skills you’ll need (minimum criteria)...

  • Proven experience (At least 6 Months) in a fast-paced Coordinator role, preferably within HETV Drama.
  • Demonstrable proficiency in diary management, scheduling.
  • Experience with travel arrangements and logistics.
  • Familiarity with standard office software, including word processing, spreadsheets, and email.
  • Ability to communicate effectively, both verbally and in writing, with a diverse range of individuals.
  • Experience with crew availability checks and resource management.
  • Familiarity with purchase order systems, expense processing, and liaison with finance departments.
  • Experience onboarding new team members and ensuring adherence to company policies and guidelines.
  • Experience liaising with external agencies, such as casting agencies and talent agents.
  • Experience handling sensitive information with professionalism and confidentiality

Other things we’re looking for (key criteria)...

  • Experience supporting a production or development team in film, television, theatre, or a related field.
  • Knowledge of production processes, including pre-production, production, and post-production.
  • Proficiency in Software and Technology.
  • Strong organisational skills and attention to detail.
  • Communication skills.
  • A proactive and solution-oriented approach to problem-solving.
  • Ability to work independently and as part of a team.
  • Understanding the specific demands of scripted drama.
